A GLAMOROUS AFFAIR: ORGANISING A CHIC 40TH BIRTHDAY PARTY
INTRODUCTION
This case study delves into the meticulous planning and execution of a lavish 40th birthday party, held in a traditionally chic marquee, featuring the renowned band party band ‘Uptown Showdown’ and premium catering. The client selected a sophisticated black and gold theme with all of the guests dressed in black tie attire.
THE BRIEF
Our client Fleur Bryant, approached our event planning firm with a vision for a grand celebration to mark her 40th birthday. She wanted a glamorous affair with a black and gold theme, a chic marquee setup, a live band performance, premium catering, and an overall ambiance that screamed elegance!
PLANNING & COORDINATION
VENUE SELECTION
To bring Fleur’s vision to life, we presented various options for marquees and settled on a traditional framed marquee with a cream lining but with the twist of all of the sides being open so that their gorgeous garden could be viewed from within.
THEME DEVELOPMENT
The black and gold theme was chosen for its timeless elegance and versatility. Invitations, decorations, and other event elements were designed to complement this theme, creating a cohesive and luxurious atmosphere. Sustainability was important to Fleur so we worked with Twilight Trees to place gold pom pom trees on the tables. Little LED trees adorned a gold bar and all of the place settings were printed on black card, embossed with gold.
ENTERTAINMENT
The evening began with a jazz band named ‘Hot Shoes,’ who played whilst the guests supped champagne on the lawn in the sunshine. Booking Uptown Showdown, a popular band known for their dynamic performances, was a key element. Coordination with the band involved scheduling rehearsals, sound checks, and discussing the playlist to ensure all of Fleur’s favourite party hits were included.
CATERING
Premium catering was curated to match the upscale theme. A renowned catering company named Vanilla Bean was selected to provide a diverse menu that included gourmet canapés, an exquisite main courses, and a decadent dessert station for guests to pick on later on in the evening.
LOGISTICS & SET UP
The marquee was elegantly decorated with black and gold drapes, floral arrangements, and ambient lighting. A dedicated team ensured seamless logistics, including stage setup, catering infrastructure, and guest seating arrangements.
GUEST EXPERIENCE
Guests were greeted with champagne upon arrival, and a cream carpet entrance added a touch of glamour. A professional photographer captured the key moments with a fab photo of everyone being taken from the top window of the house.
EXECUTION
On the day of the event, our team worked tirelessly to ensure every detail aligned with the client’s vision. The marquee, bathed in golden hues, exuded opulence. Uptown Showdown’s performance captivated the audience to really get the dance floor rocking, and the delicious food left guests raving about the culinary experience.
